COMMERCIAL WORKSHOP PROPOSALS

Welcome! We invite all confirmed 2008 conference exhibitors to submit a proposal to present a commercial workshop at the 2008 California Science Education Conference.

Please note: Space for workshops is limited and it is possible that not all proposals will accepted. Please do not submit requests to present the same workshop more than once; they will not be considered.

Deadline for sumission: June 2, 2008

Please read the information on this page fully before you begin the proposal process. We recommend that you print this page.

Before you begin the workshop proposal process, please have ready:

  1. A detailed description of your workshop (max 125 words) that explains what attendees will do during your session.

  2. An abbreviated description of your workshop (max 30 words) for printing in the conference program.

  3. Your credit card, check, or P.O. payment for the commercial workshop fee of $100.

Commercial Workshop Proposal Submission Guidelines

Companies wishing to present a commercial workshop must also participate as exhibitors at the conference.

Cost to Present a Commercial Workshop
There is a fee of $100 per commercial workshop hour. Commercial workshops are one-hour in length and are scheduled concurrently with teacher-led workshops.

Lead Presenter Registration and Program Book Listing
There is one lead presenter per session. Lead commercial workshop presenters will receive a complimentary registration to the 2008 California Science Education Conference and be automatically registered for the conference once the proposal is accepted and confirmed. Only one lead presenter per session will be listed in the conference program and on the conference web site.

Co-Presenter Registration and Program Book Listing
Commercial workshops are allowed to have one co-presenter registration at no additional charge. Additional co-presenters do not receive complimentary registration and must register at the regular conference rate or as exhibitors and will have access to the workshop rooms via their full access badge. Only one co-presenter per session will be listed in the conference program and on the conference web site.

Audio-Visual Equipment and Internet Access
CSTA provides an overhead projector and screen in all meeting rooms at no cost. Any additional A/V equipment must be supplied by the presenter or rented at the presenter’s own expense. If a presenter provides his or her own audio-visual equipment and experiences technical difficulties or equipment failure, technical support will not be available from CSTA or CSTA contracted audio-visual providers. If a presenter would like to rent additional A/V equipment, they may contact the A/V provider. Please note: the average cost to rent an LCD projector (e.g., for PowerPoint presentations) is approximately $350 per day. This price is simply an industry average and is not a guaranteed rate for presentations held at the San Jose Convention Center, Marriott San Jose, Fairmont San Jose, or Crowne Plaza San Jose. Internet access varies by facility and may cost as much as $500/day.

Meeting Rooms/Facilities
All workshops will take place at the San Jose Convention Center or the Marriott San Jose Hotel (connected to the convention center). Meeting room size and type cannot be guaranteed. Meeting rooms will be set classroom style with tables and chairs. On average, presenters are allowed 20 minutes to set-up prior to the program and 10 minutes to clean-up at the conclusion of the program. If a presentation requires additional set-up or clean-up time, please advise CSTA upon confirmation of the program. There is no guarantee that CSTA will be able to accommodate the request for additional set-up or clean-up time. It is the responsibility of each presenter to leave the meeting room presentable for the next session. Damage to the room (carpeting, walls, tables, chairs, A/V equipment, etc.) from water or other materials used during any session will be the responsibility of the presenter. Note: Rooms do not have sinks, and water may not be readily available. Presenters may bring their own bottled water for use during their presentations. Please also note below restrictions regarding open flames and hazardous and/or flammable materials.

Program Content
Proposals for repeated programs will not be considered. If the presenter plans to give away products or services to attendees and includes that information in the program description, the presenter is encouraged to indicate if the materials given are sampler materials or full and complete sets.

Sale of Items
No sale of items may occur in any meeting room at any time. Sales are restricted to exhibit booths in the exhibit hall.

Schedule Change Requests
Once programs have been assigned a date and time, requests for changes to scheduling are highly discouraged. Should the presenter find it necessary to request a schedule change, please know that a strong possibility exists that the workshop may not be able to be rescheduled to accommodate the presenter’s request. CSTA reserves the right to make schedule changes as necessary.

Compensation
CSTA does not compensate workshop presenters for travel, mileage, A/V equipment rental, materials, honoraria, or any other fees.
